1. Applicability

These terms and conditions apply to the use of the website www.rolmo.be and to the activities and events organised by Rolmo Productions VZW.

By using this website, you declare that you have taken note of these terms and conditions.

2. Information on the website

Rolmo Productions VZW strives to keep the information on this website as accurate and up to date as possible. Nevertheless, errors, omissions or changes may occur.

Information regarding events, programmes, artists, opening hours and other practical details may be changed at any time. The most recent information on the website applies.

3. Tickets and reservations

The sale and reservation of tickets may take place through an external ticketing or reservation partner.

When you are redirected from our website to an external website, the terms and conditions of that external provider apply to the purchase and payment of your tickets.

Rolmo Productions VZW is not responsible for technical problems or errors that relate exclusively to the external reservation platform.

4. Changes to or cancellation of events

Programmes, artists, schedules and other elements of an event may be changed for organisational reasons or due to circumstances beyond our control.

In the event of cancellation or changes to an event, this will be communicated through the available communication channels. Any refunds will be handled in accordance with the terms and conditions applicable to the relevant ticket sale.

5. Liability

Rolmo Productions VZW is not liable for damage arising from the use of this website, except where such damage results from a legal liability that cannot be excluded.

We are also not responsible for the content, availability or operation of external websites referred to through this website.

6. Intellectual property

The texts, photographs, logos, images and other content on this website may not be copied, distributed or used commercially without prior permission, unless otherwise stated.

7. Applicable law

These terms and conditions are governed by Belgian law.

Any disputes will preferably first be resolved by mutual agreement. If this proves impossible, the competent Belgian courts shall have jurisdiction in accordance with the applicable legal rules.

Rolmo Productions VZW attaches great importance to the protection of your personal data. In this privacy policy, we explain which personal data we collect, why we process it, how long we retain it and which rights you have.

This privacy policy applies to the website www.rolmo.be and to personal data processed through this website or in connection with our activities.

2. Which personal data do we process?

Contact form

When you use our contact form, we may process the following data:

  • first and last name

  • telephone number

  • email address

  • the content of your message or question

  • technical data necessary to process the form securely

This data is used to answer your question, contact you and handle any further communication. The contact form on the website currently requests your name, telephone number, email address and a free-text message.

The processing takes place because it is necessary to handle your request and on the basis of our legitimate interest in responding to questions from visitors.

Newsletter

When you subscribe to our newsletter, we process, among other things:

  • first name

  • last name, if provided

  • email address

  • subscription status

  • date and source of the subscription

  • technical data required to register the subscription and consent

After subscribing, we ask you to confirm your email address via a confirmation email. This means that we use a so-called double opt-in procedure.

MailPoet is used to manage the newsletter. MailPoet may register information necessary to demonstrate the validity of a subscription, such as the subscription date, source and IP address. If the MailPoet Sending Service is used, technical sending data may also be processed.

We only send the newsletter based on your consent. You can withdraw that consent at any time via the unsubscribe link in our emails.

Withdrawing your consent does not affect the lawfulness of processing carried out before your unsubscribe request.

3. Ticket sales

Tickets are not sold directly through rolmo.be. When you click the ticket link on the website, you are redirected to the external reservation platform of the Municipality of Zonhoven.

For personal data that you enter directly on that external platform, the privacy conditions of the operator of that platform apply.

If Rolmo Productions VZW receives personal data from ticket purchasers in connection with the organisation of an event, we only process the data necessary for purposes such as access management, communication about the event, administration and handling questions.

4. Photos and videos during events

Our website publishes atmospheric images and photographs from previous editions of Rolmo’s Roots Rock.

During our events, photographs and videos may be taken for reporting, archiving and communication about Rolmo Productions VZW and its events.

In general atmospheric images, overview images and images of groups or the public, individuals may appear as a subordinate element of the image. For photographs in which one or more persons are clearly the main subject, we take into account the applicable image rights and request consent where legally required.

The Belgian Data Protection Authority also distinguishes between general images of public events and photographs in which a person is specifically the main subject.

If you would like a photograph in which you are recognisable to be removed, you can contact us.

5. Cookies and similar technologies

Rolmo.be uses cookies and similar technologies.

Through the cookie settings on the website, cookies are divided into:

6. Spam and security measures

Google reCAPTCHA is used on the newsletter form to prevent automated subscriptions and abuse. The newsletter page connects to Google for this purpose.

When using reCAPTCHA, Google may process technical information such as your IP address, browser data, device characteristics and information about your interaction with the form.

This processing is intended to protect our website and forms against spam and abuse.

7. Technical data and security

When you visit our website, our website, hosting provider and security systems may automatically process technical data, including:

  • IP address

  • date and time of the visit

  • pages visited

  • browser and device type

  • server logs

  • error messages and security information

This data is processed to ensure the technical operation of the website, resolve problems and detect abuse or attacks.

The legal basis for this is our legitimate interest in providing a secure and properly functioning website.

8. With whom do we share personal data?

We do not sell your personal data.

Personal data may only be shared with parties that are necessary for our operations, such as:

  • Google for reCAPTCHA

  • service providers that assist us with website security

  • competent public authorities where we are legally required to provide data

  • ticketing and reservation partners where necessary for the organisation of an event

Where required, appropriate data protection agreements are concluded with parties that process personal data on our behalf.

MailPoet states that it offers a data processing agreement and that its services make use of infrastructure and subcontractors both within and outside Europe.

9. Transfers outside the European Economic Area

Some technical service providers may process personal data outside the European Economic Area.

Where personal data is transferred to a country for which no adequacy decision exists, we ensure that there is a valid legal basis and appropriate safeguards, for example by using standard contractual clauses approved by the European Commission.

10. How long do we retain personal data?

We do not retain personal data longer than necessary for the purpose for which it was collected.

We retain contact details and messages for as long as necessary to handle your request and for a reasonable period afterwards if further follow-up may be required.

Newsletter data is retained for as long as you remain subscribed. When you unsubscribe, we stop using your data for newsletters. Data necessary to demonstrate an unsubscribe request or previous consent may be retained for longer where necessary to comply with our legal obligations.

Technical log files are retained only for as long as necessary for management, security and troubleshooting purposes.

Cookie data is retained in accordance with the retention periods applicable to the relevant cookies and services.

Photographs and videos may be retained for longer as part of the archive of Rolmo Productions VZW, unless there is a valid reason to remove a particular image.
